Pilot privacy notice · Version pilot-2026-10

How the AI Tutor pilot handles information

This notice describes the current limited staging implementation. It is not a statement of DepEd affiliation. The operator must review and complete the formal privacy notice before inviting real families.

Guardian accounts

We collect the adult guardian's name, email address and household name to create and protect an account. We record the time and version of the account terms accepted.

HighLevel email delivery

To send account verification and sign-in codes, the app upserts your guardian name and email into a designated HighLevel sub-account and sends the code through its email system. HighLevel may retain the contact and outgoing message according to its service settings. AI Tutor does not send child profiles or learning conversations to HighLevel.

Child learning profiles

A verified guardian may create a learner nickname, grade level and subject preference. The actual AI tutoring service is not yet active. Do not enter children's full names, sensitive information, or private documents into this pilot.

Security and pilot status

Verification codes expire after 10 minutes and are stored as password hashes inside AI Tutor. We do not keep the raw code in our application database, although the email provider processes its outbound contents. Guardian sessions and student records are scoped to their household.

Data access and deletion

Account export and deletion controls are not yet self-service features. During pilot review, account and deletion requests must be handled by the application operator. Do not begin public enrollment until an appropriate privacy contact, retention schedule and request process have been published.
